Tech Tips - Creating Email Distribution Lists
This is a great way to create personalized
distribution lists when you are consistently sending
email to a specific group of people.
- Click on File on the main menu bar (not
inside an email message), then New, and then
Distribution List. (You may have to click on
the arrow at the bottom of the list in order to see
it.)
- Where it says Name: type a name for the
group you are creating. (Ex: PD Committee)
- Click on Select Members... to add people
who are in the global distribution list. (In other
words they are part of the state system.) You can
add as many as you like.
- To add folks who are not in the global
distribution system (like parents), then click on Add New... Where it says
Display Name,
type the person's name. Where it says Email
Address, type their complete address (ex: mom@aol.com)
If you also want to add this person to your contacts
list, then click the checkbox next to Contacts. Then
click OK.
- Once you are finished adding names, click on
Save and Close.
- Now when you are ready to
send an email to this group, just open a new
message, and type in the name of the group.
After a couple of seconds the name should be
underlined, indicating that it works.
OR…click
on To:, then change Global
Address List to Contacts. (It is at the very top of the list.) You will then see
your contacts and distribution list. Double click on
the one you want, and then click OK.
