Cataloging Information

All Fayette County Libraries are automated and use a machine-readable format (MARC 21) for cataloging print, non-print and equipment.  “Machine-readable” means that a computer can read and interpret the data in the cataloging or bibliographic record.  Using MARC enables libraries to acquire cataloging data that is predictable and reliable. All librarians need to have knowledge of MARC format before cataloging items into the database.

Fayette County has a union catalog.  This helps provide schools access to full MARC records.  It also prevents duplication of work & allows libraries to better share bibliographic resources.   It also enables libraries to make use of commercially available library automation systems to manage library operations.

A new standard for cataloging was developed in July of 2002.  The FCPS Cataloging Standards document is printable if your workstation can read .pdf files.

Dewey Decimal Classification is the system used by FCPS to assign call numbers to all media.

Fayette County uses cutter letters instead of cutter numbers when assigning call numbers to books.  The first three letters of the author’s last name is used, for cataloging all materials, except for individual biography (921) and Everybody books (E).  Individual biographies are assigned a call number of 921 and the first three letters of the biographee’s last name.   Everybody books are assigned a call number of E and the first letter of the author’s last name.

When cataloging reference and professional books, the letter R is used at the head of the call number to denote “reference” and the letter P is used to designate professional books.  Audio visual materials must be headed by a media symbol, from the list included in Follett Cataloging.

Sears List of Subject Headings is the preferred cataloging tool used by FCPS to assign subject headings to all media.  If there are subjects which the LMS wants to use and they are not Sears subject headings, then add those subjects as “See references” or "Authority" records.
